Our client is looking for an Administrative Director to support the Company and the department goals achievement in accordance with the Company strategy by providing employees with professional services in all administrative areas including office solutions, travel support, transportation and event management
Main Duties
ü Participation in creation, introduction and communication of policies of Office Management, Travel, Real Estate, Transportation and Event Management (in close collaboration with CRES, HR and other departments);
ü Design, implementation and optimization of all the procedures and workflow as a part of policies listed above (in close collaboration with CRES, HR and other departments);
ü Provide employees with professional Administrative service that includes:
o Interacting with external suppliers as well as internal service providers like CRES and IES departments;
o Support of new employees set up and employees’ workplaces reallocation.
ü Facilitate interaction of employees with central Administrative department including:
o Tickets and hotels booking/reservation;
o Both Russian and Foreign visas documentation processing;
o Other travel documentation (if it’s required) processing;
o Transportation support that includes taxi orders related to business trips processing;
o American Express cards statements processing.
ü Provide professional Hospitality service that includes:
o Coordination of catering;
o Providing of translation service.
ü Provide Financial and Reporting services by running databases of:
o Office;
o Travel (visas, foreign passports etc.);
o Transportation;
o Events and hospitality expenses;
o American Express cards holders.
ü Event Management including Town Hall meetings and corporate events arrangement.
ü Design, implementation and monitoring of processes and procedures connected to Travel, Administrative, Transportation, Hospitality and Event management areas. Negotiations SLAs for these processes.
ü Participation in budgeting process concerning of areas listed above. Ongoing estimation of expenditures on the items and its proper allocation.
ü Ongoing evaluation of administrative processes and procedures, and informing Management about potential opportunities.
ü Preparation and submission of various reports as required and scheduled by Management.
Requirements
Bi-lingual (English / Russian)
Higher education
5+ years top notch administrative management experience in Western company
Proficiency in management and reporting
Excellent organizational skills
Strong operational and analytical background
Must be a problem solver, a team player, have excellent communication skills
Advanced PC, MS Office suit user
